1. Who we are

Wholesale OS (“we”, “us”) is operated by Kinnard Group LLC. This policy explains what personal information we collect, how we use it, and the choices you have. It applies to our website and application (the “Service”).

2. Information we process

  • Account & organization data: your name, email, role, and organization membership.
  • Contact & lead data you enter or import: names, phone numbers, email and mailing addresses, and property details for the people you do business with.
  • Communications: SMS and email content, and — where you place calls — call recordings and AI-generated transcripts, retained to operate and audit outreach.
  • Compliance records: consent, do-not-contact, and opt-out records, kept to honor legal obligations (e.g., TCPA/DNC).
  • Billing metadata: plan, usage, and payment status. Card details are handled by Stripe; we never store raw card numbers.
  • Usage & device data: log data needed to secure and improve the Service.

3. How we use it

To provide and secure the Service, deliver communications you initiate, enforce compliance controls, process payments, provide support, and meet legal obligations. We do not sell personal information.

4. Service providers & AI processing

We share data with vendors that process it on our behalf under contract, including cloud hosting and database (Supabase), payments (Stripe), messaging and voice (Twilio, Bland, ElevenLabs), email (Resend), e-signature (SignNow), and AI model providers (Anthropic, OpenAI, Google) used to power in-product features. These providers act as processors and are bound to use the data only to provide their services.

5. Your rights

Depending on your location (e.g., GDPR/CCPA), you may request access to, export of, or deletion of your personal information, and object to certain processing. Account owners can export or delete their organization’s data from Settings, or contact us using the details below. We respond within the timeframes required by applicable law.

6. Retention & security

We retain personal information for as long as needed to provide the Service and meet legal obligations, then delete or de-identify it. We use encryption in transit and at rest, tenant isolation, access controls, and audit logging to protect data.
